1. Choose the service
Use Airport Transfer for trips involving an airport, Private Car for direct point-to-point travel, Shared Rides for available seat-based departures, or Tour/Multi-stop when you need several stops.
2. Enter pickup and destination
Type the city, airport, hotel, landmark or address you actually want. Select a matching suggestion when available. Smart Search can understand common route wording and may prefill passenger/luggage details, but it never submits a booking for you.
3. Review Smart Search results
Before booking, confirm the displayed Pickup, Destination, Distance and Fare. If a phrase is ambiguous, such as “my hotel”, RideVie asks for the missing hotel instead of guessing. Only continue when the selected places are correct.
4. Set the requested pickup time
Requested pickup time means the time you want the car to arrive at the pickup point. For airport pickup, you may also enter Flight arrival time. For a trip going to the airport, use Requested pickup time and your departure flight number; flight arrival time is not needed.
5. Add passenger details and submit
Enter a reachable phone/email and the passenger count. Add luggage, payment choice or notes only when relevant. Press Continue: choose vehicle, review the trip, then send the booking request after reviewing the route and fare. The server verifies the quote again when the booking is submitted.
6. Confirmation and driver details
RideVie first sends the booking confirmation. After a driver accepts and is assigned, RideVie sends the driver/vehicle details through the notification channels enabled for that customer, such as email, supported messaging, or a linked device notification.
7. Flight delay tracking
When Flight tracking is enabled and AeroDataBox is configured, RideVie uses the exact commercial flight number to obtain schedule/arrival/ETA data. OpenSky can optionally enrich the matched aircraft with live ADS-B position when its OAuth credentials are configured. Flightradar24 remains an optional paid fallback. For airport-arrival pickups, a meaningful ETA or landing-time change can adjust the pickup time while preserving the configured pickup buffer/offset. RideVie then notifies the assigned driver and customer through enabled channels.
If the flight API is unavailable, rate-limited, or the flight number cannot be matched exactly, RideVie keeps the current pickup time. It does not guess an ETA from another flight.
8. Customer cancellation and refund
Eligible future trips can be cancelled from My Account. Before confirmation, RideVie shows the current refund percentage and estimated refundable amount. After cancellation, assigned driver resources are released and the customer, driver (when already assigned), and operations team are notified.
A refund is marked Refunded only after the payment gateway confirms it. If automatic refund is unavailable or not confirmed, the booking remains Refund pending for administrator/accounting review. A cancelled booking is not the same as a confirmed refund.
